Trip Terms & Conditions

The Nepal Wilderness Trekking team is dedicated to providing the most satisfying and safest service possible to its customers. Also, it’s a Nepalese government-registered company. The main objective of our company is to provide the best possible quality for the customers so they can have the most memorable moments in Nepal when they visit us. Please review the following requirements and conditions carefully before booking your trip with us.

Thank you for considering Nepal Wilderness Trekking Pvt Ltd as your travel partner. Before you book your trip, please read the following terms and conditions carefully. By booking a trip with us, you agree to these terms and conditions.

Travel Documents:

It is your responsibility to obtain all the necessary travel documents, such as passport Photocopies, visa Copies, and Passport size photos, before the trip departure date. We will provide you with information and assistance to obtain these documents, but we cannot be held responsible if you fail to obtain them.

To confirm the Trip:

Nepal Wilderness Trekking Pvt Ltd requires certain documents to confirm the trip:

Completed Trip Booking Form: You need to fill out and submit our booking form to confirm your trip including the trip starting date and month.

Passport Copy: You need to provide a clear copy of your passport. The passport must be valid for at least 6 months from the date of your trip. And Passport size photo.

Travel Insurance: You need to provide a copy of your travel insurance policy that covers emergency medical and evacuation expenses, trip cancellation, and other unforeseen events.

Flight Details: You need to provide your flight details, including your arrival and departure dates, flight numbers, and airline names.

Payment: You need to make a 25% deposit of the total trip cost per person to confirm your trip. The trip will be confirmed only after the 25% deposit. The remaining balance is due 10 days before the trip departure date, of the visit to our office to pay before the trip starts.

Once we receive all these documents and the deposit, we will send you a confirmation email with details about your trip.

Liability:

We do our best to ensure the safety and comfort of our clients during our trips. However, we cannot be responsible for any injury, loss, or damage to personal property that may occur during the trip. We also reserve the right to cancel any trip at any time if we deem it necessary for the safety or well-being of our clients.

Booking conditions:

If you cancel the trip, there will be no refund of the 25% deposit. However, if the client decides to spend 25% deposit on another trekking trip within a period of one year after the payment date, then Nepal Wilderness Trekking Pvt facilitates for our valuable customers. And he or she can pay the rest when they arrive at the destination. In addition, we accept last-minute bookings. It is recommended that the client book their trip to Nepal at least 2 weeks before the departure date of the trip.

Payment:

We accept payment through wire transfers, online payment gateway, and major credit cards. Please note that there is a 4% service charge for credit card payments. All transactions cleared through these media are fully the responsibility of the client.

Changes to the Itinerary:

We reserve the right to change the itinerary due to unforeseen circumstances, such as weather conditions, political instability, and transportation problems. In such cases, we will make alternative arrangements that are of equal or greater value. If you decide to make any changes to the itinerary, you must inform us in writing at least 30 days before the trip departure date. We will do our best to accommodate your request, but we cannot guarantee that it will be possible.

Risks and liabilities:

There are no exceptions to the laws and regulations of the Nepal Tourism Board. In the case of unforeseen circumstances, such as changes in the laws and regulations of the country, natural disasters, political instability, cancellations of flights, delays, sickness, etc. The Nepal Wilderness Trekking Pvt will not be responsible for any extra fees for the clients. In this respect, travel insurance is highly recommended. Also, if the client breaks any regulation or law during their tour, and they are forced to leave Nepal, the tour fees are non-refundable.

Trip cancellation policy:

The 25% deposit is non-refundable according to our terms and conditions. Thus, we strongly recommend the client to postpone their trip rather than cancel. In case of client non-interest in the trek, health issues, political issues, natural disasters, and early ending of the trip 100%  no refunding is done. Thus, we strongly recommend the client to postpone their trip rather than cancel.

Once the trek has been started the trip cost is 100% non-refundable after the payment if the client decides to cancel in the middle of the trip for personal reasons. The reason behind the nonrefundable is the full payment for processing of documents, guide, porter, transportation, accommodation, guide and porter insurance being insured, company service charges, and more, etc. Nevertheless, in the event that we have to cancel the tour due to unexpected circumstances such as natural disasters, wars, or unfavorable climate conditions, we will arrange another one for them.

Travel Insurance:

We strongly recommend that you purchase travel insurance before you embark on your trip. The insurance should cover emergency medical and evacuation expenses, trip cancellation, lost luggage, and other unforeseen events. For this reason, we recommend the World Nomad Insurance Agency.

Health and Fitness:

You must be in good health and physical condition to participate in our trips. If you have any pre-existing medical conditions, you must inform us before booking your trip. We reserve the right to ask you to provide a doctor’s certificate of fitness before the trip departure date.

Flight delay or cancellation:

In many remote regions, such as the Everest region, the Annapurna region, the Dolpo, Simikot, and Jumla regions, bad weather can cause flight delays or cancellations. Therefore, we advise our clients to have additional money in order to pay for their food and accommodation during their trip. In addition, the Nepal wilderness trekking team is not responsible for any additional expenses that may arise.

Governing Law:

These terms and conditions shall be governed by and constructed in accordance with the laws of Nepal. Any disputes arising out of or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts of Nepal.

Note:

Please note that our terms and conditions apply only if a client books their trip directly with us. Nevertheless, if they book their trip with us through any international agents or third parties, they are responsible for following the terms and conditions of those third parties.
